Staff Accountant

Architectural acoustics, audio-visual, and environmental consulting company in Santa Monica is seeking a Staff Accountant for a full time position. Responsibilities to include: A/P, A/R, project set up and billing, occasional assistance with payroll, accounts reconciliations, monthly closing.

Experience with BillQuick or other project accounting software is a plus but not necessary. The successful candidate must have a minimum of two years experience using QuickBooks, Microsoft Word, and Excel with an aptitude for the use of accounting applications and extraordinary attention to detail.

We are looking for an individual who is interested in working in a small-firm environment, learning all phases of accounting operations, is organized, detailed oriented, and possesses strong communication skills. Work experience in the design or construction industry is desirable but not mandatory.

Purpose:

Staff Accountant responsible for the day-to-day accounting operations, working closely with the accounting manager, project managers, and administrative staff to ensure projects are timely and accurately billed and tracked and all accounting transactions are properly recorded.

Job Duties:
  • Prepare AR, Cash Receipts journal entries, cutting AP checks.
  • Assist with preparation of bank statement reconciliation, the month-end closing and annual review and reporting, budget process.
  • Generate reports upon request.
  • Prepare monthly invoices based on various projects and contract types, including reimbursable, special non-standard invoices, lien waivers etc. in timely manner.
  • Oversee project set up and updates based on contract information received.
  • Follow up on contracts, client’s P.O. numbers, principal’s signatures on documents, etc., making sure that all necessary paperwork is in place in order to bill the clients properly.
  • Follow up on clients inquiries regarding invoicing and all billing related issues.
  • Support project managers and administrative staff on invoicing related issues and/or their project reporting requests and inquires.
  • Proper recording, gathering back-up, and follow up on reimbursable expenses.
  • Occasional assistance with time cards submittal and payroll duties (proper training will be provided).
  • Perform HR paperwork, benefit administration, and liaison between employees and outside benefits agents and insurance companies.

Qualifications:

To perform this job successfully, and individual must be able to perform each essential duty satisfactorily.

Education and/or Experience – preferably Bachelor’s degree in Accounting or Finance; at least 2 years related experience and/or training; or equivalent combination of education and experience. Experience with project/contract base billing preferred.

Computer Skills – knowledge of QuickBooks and/or Bill Quick or other project oriented accounting software. Highly computer literate in Microsoft applications, especially Excel spreadsheets building.

Excellent written and verbal communication skills.
